Privacy Policy

This Privacy Policy explains how the Abu Dhabi Off-Road Club ("AD4x4", "the Club", "we", "our", or "us") collects, processes, stores, shares, and protects your personal data when you register on AD4x4.com, use our mobile applications, or participate in Club events. By using AD4x4 platforms, you consent to the practices described in this policy.

AD4x4 is committed to protecting your personal information in accordance with UAE data protection laws while ensuring that necessary data is made available to support Club operations, community transparency, and off-road safety.

Information We Collect

We collect personal data you provide during registration, profile updates, event participation, and gallery uploads. This may include:

  • Full name
  • Username
  • Email address
  • Phone number
  • Vehicle details (brand, model, color, year, image)
  • Date of birth
  • Gender and nationality
  • Emergency contact details
  • City of residence
  • Profile picture (avatar)
  • Trip participation history and driving level
  • Photos or videos you upload to the AD4x4 Gallery
  • Device information and location (when using app features)

Contact form. When you send a message from our contact page, the name, email address, subject and message you enter are emailed to the Club mailbox at info@ad4x4.com so a person can read and reply to you. That is the only place the message goes: it is not published, not added to a member profile, and not used to sign you up for anything. We keep it for as long as the Club keeps the correspondence in that mailbox.

Purpose of Data Collection

We use personal data to operate the Club, maintain safety, verify member identities, and ensure proper event management. Your information is used for:

  • Membership registration and verification
  • Displaying your profile publicly on AD4x4.com and in the mobile app
  • Trip creation, registration, safety briefings, and attendance records
  • Skill progression, logbook management, and promotion eligibility
  • Communication via push notifications, SMS, or email
  • Displaying your uploaded photos publicly in galleries linked to trips
  • Safety, emergency contact, and recovery operations
  • Moderation, security, and compliance with UAE laws

Publicly Visible Information

As part of being an active member of AD4x4, certain profile details will be publicly visible to other members and visitors. These include:

  • Username
  • First name and initial of last name
  • Vehicle brand, model, year, and color
  • Driving level and number of trips attended
  • Profile picture
  • Photos you upload to the AD4x4 Gallery
  • Your participation in trips (e.g., registered, checked-in)

By joining the Club, you acknowledge and accept that this information will be public as it is essential to Club operations, transparency, and community trust.

Photos and Media Uploads

Any images or videos you upload to AD4x4 trip galleries, personal galleries, or shared community albums will be publicly visible. These uploads may appear:

  • On trip pages
  • In user profiles
  • In the main AD4x4 Gallery
  • In promotional materials (with prior Club approval)

Photos often carry embedded location data from the camera that took them. Where a photo includes coordinates, we show its location on the public gallery map. If you would rather not share where a photo was taken, remove its location data before uploading, or ask us to remove it.

By uploading media, you grant AD4x4 a non-exclusive right to display, archive, or promote the content as part of Club activities. You must ensure you own the rights to the content you upload.

Legal Basis for Data Processing

AD4x4 processes your data under the following legal bases:

  • Your consent when registering or uploading content
  • Legitimate interests in operating the Club and ensuring safety
  • Compliance with applicable UAE laws and safety regulations

We may share your personal data with:

  • Club marshals and event leaders for safety and trip management
  • Emergency services in case of incidents
  • Authorized IT service providers maintaining our systems

We do NOT sell or rent your personal information to any third party.

We store personal data securely on servers located within the UAE or approved international locations in compliance with UAE data transfer regulations. We implement technical and administrative measures to protect your data from unauthorized access, alteration, or misuse. However, no system is 100% secure, and we cannot guarantee absolute protection from cyber threats.

Your personal data will be retained as long as you maintain an active membership or as required by UAE legal or operational obligations. Media uploads may remain visible indefinitely unless deleted by you or upon a valid request.

Under the UAE PDPL, you have the right to:

  • Request deletion of your data (unless required for Club operations)

Some rights may be limited when data is essential for Club safety, operations, or historical recordkeeping.

Members under 18 years old require parental or guardian consent. Guardians are responsible for the accuracy of the minor's data and for monitoring their participation.

Cookies and Tracking

AD4x4.com uses a small number of essential cookies to keep you signed in and remember your theme preference. We do not set advertising or third-party tracking cookies.

We measure aggregate, anonymous usage of AD4x4.com (page views, traffic sources, device/browser type, country) using a self-hosted Umami instance running on our own infrastructure at analytics.ad4x4.com. No member identifiers, no cookies, no cross-site tracking, data is aggregate-only and never leaves our servers. Retention is 90 days by default.

You can opt out by enabling your browser's "Do Not Track" setting; the tracker respects it and skips reporting your visit entirely. AD4x4 does not send any analytics data to Google, Meta, or any other third-party processor.
